A. Citibank NA Citibank,
India has purchased the Newgen Image server Corporate License for unlimited
installations and unlimited users for India. And later they have purchased the
licenses for many more countries. The
competition here was IBM, Optika, and Wang. The following projects at Citibank
were sold and managed by myself. Record Management Unit (RMU) This department handles all the documents of most of the departments of the bank. Documents are send to the RMU for safekeeping. RMU stores the documents, Microfilm it and store the originals at a safe location. When any person/ department requires a document, a request with authorization is send to the RMU, who inturn retrieve the Microfilm, print the copy and send it to the requested party. Considering that RMU handles all documents of the Banks India operations (four Cities in India) the volumes are very large. We have designed a system which not only replaces the Microfilms, but also make the images accessible to the users in various offices located in four cities. This system also very comprehensive, it includes Document and data tracking (the system entry is matched with document id so that if a document is missing, then it is immediately tracked. The users with authorization can access the documents, request for more documents as and when required. The system has comprehensive audit and report, archiving and Juke box management system. This
system is expected to reach out to the front desk for capture of information
at a later stage.
Central Image
Citibank
designed this system to cut off its specialized Managers from the branch and
to place them at a centralized place from where they provide services to all
the branches. The advantage of this system is that the Brach do not require
the services of the managers locally. They are placed at a Centralized office
where all documents are send electronically and responses received.
This
place is a centre for processing the Letter of Credit Applications and Bill
Discounting applications and deciding on the requests by the customers. This
primarily deals with the Letter of Credits and Bill discounting. The documents
from the customers are received at the branch and scanned at the branch. This
is automatically send to the Central processing Depart. Where the images are
viewed, databases accessed and information gathered, and a decision is made.
The decision is conveyed to the Branch who inturn inform the customer of the
decision. The application is either processed further, KIV'ed and more info
requested or rejected. This is
integrated with existing systems and databases for faster responses.
Cheque/cash
Processing Centre
This
department collects cheques on behalf of their large customers and processes
it on a daily basis. The daily volume is more than 20000 cheques per day. The
cheques are scanned and moved for data entry. The data-entry operators view
the image one by one and input information from the cheques into an Informix
database. The system is equipped with various verification checks and safety
procedures to avoid mistakes. B. Industrial
Credit Investment Corporation of India (ICICI)
ICICI is of the largest financial organization in India and is among the top 5 Financial Companies in India. The
Newgen solution was implemented at the Share department to handle Shareholders
correspondences. ICICI Share department receives approximately one thousand
correspondences per day. They need to be responded as fast as possible. By
implementing this solution, ICICI reduced the response time to one day from
the previous two weeks. This
solution uses the Oracle RDBMS for management of data. The user interface is
image enabled using Newgen APIs. The images can be called to by the user as
and when required. C.
Taj Group of Hotels Taj Group of Hotels is the Biggest 5 star Hotel Group in
India. They own and operate more than 40 Hotels worldwide.
Taj Group belong to the biggest Industrial Group in India (TATA Group).
I have designed three systems at the corporate office of the Taj Group.
This was later implemented CEO ‘s Office
The CEO receives a large number of mail/Fax every day. I have designed a solution to scan the documents, send electronically to the CEO, who record his instructions to the Secretary who retrieve the image and listen to the voice and execute the instructions such as forward to another person, respond, or file. The secretary follows up with the concerned party for any further requirement. The imaging software used is Liberty by Alliance Infonet , USA Systems dept
This system is used to store information or vendors, products, proposals, orders, correspondence etc. All paper documents are scanned and stored in this solution. Simple routing is used to send the documents to other users. The imaging software used is Liberty by Alliance Infonet , USA Share Registry
This system is to track shareholders correspondence. Mostly used as a complaint management system. All mails are scanned and routed to a group of users who check the database and previous documentation and generate a response to the letter received. The response is stored as an attachment on the document for future inquiries. The imaging software used is Liberty by Alliance Infonet , USA D:Hindustan Thompson AssociatesHTA is the biggest Advertising Company in India. The system is used to store the copy of advertisements, industry information, trends, and competitive info. Users can access this info whenever required. The imaging software used is Liberty by Alliance Infonet , USA E:Over The Counter Exchange of India This is the “Over The Counter Exchange of India”. The mini stock exchange. This system is to manage the correspondence to the SR Managers in the organizations. Used by the secretaries of the managers. All documents are scanned and responses are attached to the images. The imaging software used is Liberty by Alliance Infonet , USA F:Good Relations Pte Ltd This is the biggest Public Relation Company in India. This system is installed in their Delhi Office. All documents such as, correspondences, market info, reports, trends, advertisements, information gathered for are scanned and the reports are stored along with the info. The info gathered on behalf of the customers are send to the users using Fax or as an email attachments on a daily basis. The imaging software used is Newgen Image Server and clients with Customisations by Newgen software Technologies Ltd G:Enron Clipping Management systemH:Jardine FlemingDocument Management system for storing, documents related to Research.I: ICICI BankCheck scanning and storage system.J: Consulting Studies, requirement evaluations and Proof of ConceptSingapore Airlines, SingaporeSingapore Airlines is rated as the best Airline in the World. This study was done on behalf of IBM at the SIA Training Centre in Singapore.All documents related to 6000 Cabin Crew needed to be scanned and many data need to be passed to two other systems such as Appraisal software and Cabin Crew Management System (Based on Oracle). This is a very large system and the images and data need to be integrated and presented to the users who can drill down for more info.The system proposed by me is accepted by the users. The system is scheduled to be implemented in the year 1999-2000 Ernst and Young, Singapore This study was done on behalf of IBM. The study is done in audit and HRD department. This study is done to evaluate the document management requirements in Audit and HRD departments. This proposal is under consideration and they will be implementing the proposed solution in the year 1999-2000DBS Card (DBS Bank), SingaporeDBS Bank is the largest bank in Singapore and is one of the biggest in Asia. This study was done on behalf of IBM. This study was to look at the possibility, and issues concerned in replacing the existing workflow solution (In Concert). A report indicating the issues, problems and suggestions were prepared and submitted to the management. Singapore National Employers FederationThis is the confederation of Companies in Singapore and manages the issues of the employers and provide information, suggestions to Companies as and when required.This study was done on behalf of IBM. This study was to address the requirements in automating the total operations of the Company. This report is being considered and the recommended solution is to implement soon.Power Supply Ltd, SingaporePower Supply Ltd is a Govt Owned Company, which provides Electricity to the users in Singapore. This study was done on behalf of IBM. The study was done at the installation and supply departments where they deal with the new applications. Ltd . is the Largest and one of the best document imaging Companies in India. Incorporated in 1992 , Newgen today employs more than 250 employees. Newgen products are now being sold in India and international market through own Offices and dealers . As DGM - Strategic Accounts, I Managed a team that rendered the solutions to the top 100 Companies in India. I had a team of eight people reporting to me. This included a Sr Manager who handled a team of four people . Our job was to conceptualize, introduce and suggest document Imaging and workflow solutions to these 100 organisations . Design the application, architect the solution, Prepare write up, prepare presentations, present to the top management / users, follow up for business generation, submit proposals, negotiate, collect orders, coordinate with software developers, product Team etc. for implementation, and ensure successful implementation and customer satisfaction. We have been able to generate and implement very large solutions for various clients such as CitiBank ( This solution has been accepted by a number of Citibank international offices aside of India ). We won this order against stiff competition from IBM, Keyfile and Optika. I had worked with this company previously in 1984 to 1986. My duties were as follows: w Identify and promote document imaging and workflow solutions. w Configure the hardware and software components in the proposed solutions . w Head a team in providing solution architecture, w Design workflow solutions and implement the same. w Undertake the project as Turnkey project and implement the solutions to the satisfaction of the customer. w Manage the total project until hand-over and continue with ongoing support and maintenance. w Headed a team of engineers and solution designers.
